Scope of the Privacy Statement
AREMIS places great importance on respecting your privacy and protects your personal data by applying the European General Regulation 2016/679 on Personal Data Protection, hereinafter referred to as the "GDPR". In cases where the Belgian law of July 30, 2018, relating to the protection of natural persons regarding the processing of personal data, contains stricter requirements, we will act in accordance with that legislation.
AREMIS is committed to protecting the (personal) data of all its stakeholders with the utmost care and only processing it in a fair and lawful manner. This privacy statement contains essential information on how AREMIS, as the data controller, collects and processes personal data, defines the purposes, and explains your rights as a data subject.
This statement applies to all subscribers or clients acting as natural persons and generally to all individuals in contact with AREMIS. It also applies during visits to our offices, home visits by our staff, and visits to our website.
Processing of Personal Data
Personal data can be defined as any information that allows the identification of a natural person, either directly or indirectly. You may provide us with your personal data in the following activities, for the corresponding purposes, and based on the stated grounds:
Contact Form or Correspondence: By filling out the contact form on the website, you consent to AREMIS processing your name, first name, postal address, email address, phone number, contract or registration number, and your question or message. If you contact us directly (via email, phone, or mail), we will process your contact details and the content of the correspondence. We only use this information to appropriately handle your query or message. Phone calls and video conference calls to our customer service or other departments are neither recorded nor stored. Additionally, we may use your email address to send surveys to improve our service.
Application Form: If you submit your application, AREMIS processes your name, first name, gender, phone number, email address, postal address, CV, cover letter, and diplomas to assess the possibility of a contractual relationship. The processing of applications and interview management is based on the pre-contractual measures AREMIS must implement during a recruitment process. The creation of a CV database, proposing other opportunities, or producing statistics, market studies, etc., is based on AREMIS' legitimate interest. Office Security: To ensure the security of our employees, visitors, and premises, each visitor must register at our reception and provide their name, first name, the name of the organization represented (if applicable), the name of the person visited within AREMIS, and the time of arrival and departure. For this purpose, all visitors are also filmed at the entrance of our offices via a video surveillance system. These processes are based on AREMIS' legitimate interest.
Events: When you register for an event in which we are partners, we may take photographs to capture the atmosphere. These photos may be published on our social media channels to highlight our participation in the event. The publication of photos on social media is based on our legitimate interest in promoting our public service mission and for online visibility. If you no longer want a photo or video in which you are clearly visible to be made public, you can notify us by sending a link or reference to the photo or video to info@aremis.com. It will be removed from online publications as soon as possible and within technological constraints.
Other Relationships: We collect the contact details of our current or future suppliers and partners, such as name, first name, professional phone number, work email address, and work address, the name of the represented organization (if applicable), the duration of the mandate (start and end date), and also the bank account number, VAT number, CV, criminal record, and tax status of the supplier, partner, or their representative. We process this information to finalize our agreements and manage our relationships or collaborations. This processing is therefore based on the conclusion and execution of our contracts and business relationships.
Website Navigation: Each time you visit our website, we collect information using cookies and other technologies to ensure the optimal functioning of our website. For more information, please refer to our Cookie Policy.
Social Media Plugins: The AREMIS website integrates YouTube and LinkedIn plugins. As soon as you access our website, this social plugin sends data to third-party platforms regarding your device, the pages you visit, and how you use our services. Unless you share something on your social media account, the plugin is processed independently of whether you have an account. We recommend familiarizing yourself with the privacy policies of different third-party service providers whose plugins may be present. These providers may collect data from the plugins according to their respective privacy statements.
AREMIS considers your personal data as confidential and is committed to processing it only in a manner consistent with the purposes for which it was originally collected.
Your Rights as a Data Subject
As a data subject, you have the opportunity at any time to exercise your rights as described in the GDPR. These rights include:
Right of Access: You have the right to access your personal data at any time and request a copy of the personal data that AREMIS collects about you.
Right to Rectification: You always have the right to correct incorrect personal data or complete incomplete personal data.
Right to Erasure ("Right to be Forgotten"): You can request the deletion of your personal data from AREMIS' systems. This request may not always be granted due to contractual or legal obligations. AREMIS will consider these obligations when responding to your request.
Right to Object: You have the right to object to the processing of your personal data if the processing is carried out for AREMIS' legitimate interest or public interest. We will stop processing unless we can demonstrate compelling legitimate grounds for the processing or for exercising legal rights.
Right to Withdraw Consent: For the processing of your personal data collected by AREMIS with your consent, you can withdraw your consent at any time. For example, you can always request the removal of a photo or video online for which you gave consent. However, withdrawing your consent does not apply to the processing performed by AREMIS before the withdrawal.
Right to Restriction of Processing: In certain cases, you have the right to request the restriction of processing your personal data. We will continue to store your data but limit its use. For example, you may submit this request if you believe your personal data is inaccurate or the processing by AREMIS is not justified.
Right to Data Portability: You have the right to receive the personal data concerning you, processed by AREMIS, in a structured, commonly used, and machine-readable format and/or transmit it to another data controller.
These rights can be exercised free of charge by sending an email to gdpr@aremis.com. We commit to responding to your request within one month of receiving it. We may ask for additional information to confirm your identity and ensure that the request comes from you.

Disclosure to Third Parties
AREMIS will refrain from disclosing or selling personal data to third parties or publicly disclosing the personal data of data subjects, except in specific cases outlined in the full document.
